Organize Citations you use in your Research with RefWorks

Instructions

The NCAR Library subscribes to RefWorks. It's a Web-based tool UCAR staff can access from any location to store, organize in folders, and retrieve lists of all references of interest to them. You can keep references in folders to suit your research activities and then print them as bibliographies.  Formats included for the citations are those for the American Meteorological Society and the American Geophysical Union.

Online Tutorial
For the RefWorks online tutorial go to RefWorks.  In the upper right hand corner of the RefWorks login screen, click on tutorial.  Or set up you account (see next paragraph) and login to RefWorks.  From the main RefWorks screen select help and then select tutorial.  You can either watch the tutorial movie in parts or print parts of interest.

Logon
Go to RefWorks
Click on Sign up for an Individual Account, enter your information, and click on register.
Now you are in RefWorks and can immediately store references there.
Wherever you are, go to RefWorks and use the login and password you created to get to your references.  Remember:

When outside of UCAR, input group code RWNCAR to access your RefWorks account.

Begin by putting one or more references into RefWorks.
Choose add new reference from the references buttonSelect a publisher format for this record in the View Required Fields for menu
(Once you have created folders you may choose one from the menu at this point; it is not necessary to have created folders to start a RefWorks bibliography.)
The Ref Type menu lets you specify whether this is a book, electronic journal, etc.
Type information in the windows labeled authors, title, etc; windows designated with asterisks are required in the bibliographies of the publisher whose format you chose.
(To learn the correct format for entering the author name click on See detail at the right of the author box)
There are many windows you can choose to fill in, such as the URL for an electronic journal article.
Click on Save Reference
To see that your citation is now a part of your RefWorks collection, from the view button at the top of the page select all references.

Create a Folder for a group of citations
From the folders button select create new folder.
Name the folder and click OK.
Select view from the folders button to choose the folder you just created.

Organizing references in folders:
Either choose one of your folders when you are adding a new reference to RefWorks or select all references from the view button.  Now checkmark the citations you want in a folder and from the put in folder dropdown menu choose the folder where you want them to be stored.

Create a formatted bibliography
Click the Bibliography button.
Choose an Output Format such as American Meteorological Society.
Choose format a bibliography from a list of references.
Also specify whether you want to include all your references or just those in the folder you  indicate.
Click Create Bibliography
A printed bibliography appears.  You can print or save it (Save it as type textfiles); when you close it, you'll be given options including e-mailing it or returning to RefWorks.

How to copy a record into another folder
Click in the box by the title you want to copy
Press on the down arrow by Put in Folder
From the menu select the folder to receive the copied record
Click OK

Search
If you have a lot of references and folders, and need to locate specific citations, use the search RefWorks window and type in anything you think appears in those citations.  For example, if it was in Water Resources Research, type in the word water.  Explore other search options with the Search button.

RefWorks Intermediate Techniques

Importing records from online Databases
Choose the most complete format available when importing; then, for any given journal format, when you create a bibliography RefWorks will only select citation information that format requires.   When viewing citations online cut and paste information into RefWorks by selecting add new reference and filling in the resulting template. 

From several databases available through the NCAR Library you can do an automatic import of citations into RefWorks.  Make sure you have RefWorks open.  See import instructions by database below:

Web of Science
Search for desired citations and mark them in box at left of citation.
Click on Add to marked list in box on right or bottom of citation list.
Click on the Marked List button at top of screen.
On the screen Web of Science Marked Records:
Step 1: select fields to output (more is better.)
Step 2: select Field Tagged and Plain Text.
Click on Save to File in Step 2.

In box Opening Savedrecs.txt click on OK to Save it to disk.
Save on desktop.

In RefWorks:
Click on Import (under References).
Import filter/Data Source – select ISI (Institute for Scientific Information).
Database – select Web of Science.
Import References into – select your folder.
Click on Browse, select savedrecs, click on open (path fills in box to left of browse button).
Click on Import.
Check your work by clicking on View Last Imported Folder.
Mark citations and choose the appropriate folder in the Put in Folder menu.

Meteorological and Geoastrophysical Abstracts
Search for desired citations and mark them in the boxes at their left.
Click on RefWorks icon above the citation list.
Click on Export to RefWorks
Click on View Last Imported Folder.
Mark citation and choose the appropriate folder in the Put in Folder menu.

FirstSearch
Search for desired citations and mark them in the boxes to their left.
Click the Export button in the navigation bar.
Select Marked records from this search and select RefWorks, click on export button.
Click on View Last Imported Folder.
Mark citation and choose the appropriate folder in the Put in Folder menu.

IEEE Explore
Search for desired citations and mark them in the boxes to their left
At Display Format select Citation and Abstract, then click on View Selected Items
From the Download Citations drop-down menus select Citation and Abstract and then in the box below select EndNote, ProCite, and RefMan
Click on right double-arrow
Choose Save to Disk on the next screen, click OK
Logon into RefWorks
Under References on the toolbar select Import
For the data source, select RIS Format; for the database select IEEE/IEL
Click Browse to select the text file (Citation Act) you saved on your desktop. Click open.
Click Import at bottom of screen
To check references click on View Last Imported Folder.
Mark citations and choose the appropriate folder in the Put in Folder menu.

Astrophysical Data Systems Abstract Service
Search for desired citations and mark them in the boxes to their left
At bottom of the results page go to Retrieve the above records in other formats or sort order
In the drop-down menu boxes for the Return field select RefWorks format and Load into RefWorks
Click on Retrieve selected records
On the next screen click on Export to RefWorks
InRefWorks click on View Last Imported Folder
Mark citations and choose the appropriate folder in the Put in Folder menu.

Google Scholar
From the Google Scholar search page set the export feature by clicking on Scholar Preferences (Since Google saves the setting, this needs to be done only once.)
Scroll down to the Bibliography Manager section
Select Show Links to Import citations into and select RefWorks from the drop-down menu
Click on Save Preferences
Conduct search in Google Scholar
(Note: In Google records can be imported only one at a time.)
Each record displayed will have an Import into RefWorks link. Click on link to import.
In RefWorks on the Edit References page choose the Format Style, Ref Type, and folder.  Click on Save Reference

Ingenta
Search for desired citations and click on mark
Select Marked List in left column
Select display for download (ASCII)
FILE:  select Save page as (saves to desktop), name file, and click on save.

In RefWorks:

Click on Import:  Import filter/Data Source – select Ingenta.
Database – select online articles or fax/ariel articles.
Import References into – select your folder.
Click on Browse, select name of file, click on open (path fills in box to left of browse button).
Click on Import.
To check references click on View Last Imported Folder.
Mark citations and choose the appropriate folder in the Put in Folder menu.

Using RefWorks to cite articles while you write
(These instructions are for manual citing; in addition you can use the write and cite plugin found in RefWorks.  See instructions in RefWorks, for example, in the RefWorks tutorial.)

Choose bibliography and from Output style select Citation list.
To choose the desired folder of references for your paper, click the button references from and then choose your folder from the dropdown window.
From file type to create choose Word for windows.
Press create bibliography.
Print the bibliography and also save it to your computer for future reference.

To cite from this bibliography you have chosen and printed while you are writing a paper:
Select the document with which you want to write and cite. After the period of any sentence where you want to cite something from the bibliography place a space, two left curly brackets, and the number of the item in the bibliography, followed by two right curly brackets.  Save the document.

After citing everything you want to during this session, you can view the finished product created to this point:
In RefWorks go to the bibliography template you filled in.
Choose your desired output style (eg. American Geophysical Union).
Click the format paper and bibliography button.
Click browse and find the paper you saved after writing and citing. Choose it.  The title should appear in the browse box.
Press create bibliography.
The document created will be labeled "final" plus the former name you gave it.  Save it. 

Once you have completed your paper, you can exchange the references automatically listed at the end for your entire bibliography, including papers you did not cite within your text.  When creating the entire bibliography to cut and paste or append to your paper choose the RefWorks folder where it resides, choose an output style and a file type, usually Word.

Sharing Citations:

Read only privileges
If you want to have someone else look at your RefWorks file with read only privileges, choose tools, settings, and update user information.  Create a read only password.  Others can login with your user name and use the read only password you give them.  You can go in and update this password whenever you like so that the read only knowledge/privilege is no longer valid.

To Export your references from one RefWorks account to another
Go to the references button bar and choose export.
Choose the button references from and choose the folder you want to export.
Choose Refworks tagged format.  Press export.
When the document appears, choose save as, check to make sure it is "type" text file, note name and location of the file andclick save.   Email this saved document to a colleague.

Import the above file into a RefWorks account
Choose the Import feature from references on the RefWorks toolbar.  From Import filter/data source select RefWorks tagged format; choose to import it into a folder if you wish.
Under Import data from the following textfile, select browse, find the file and open it.  Press import.

Duplicates 
To find duplicates within a folder, sort by title, primary.  To remove a duplicate within a folder select one of the duplicate set by checking it.  Click on Remove from folder and OKWarning:  Do not click on delete because the reference will be removed from the entire database which includes all folders containing that reference.  Also do not remove a duplicate from the All References list because it will be removed from the database as well as from all folders containing it

Other ways to share RefWorks contents 
Use the bibliography option, create a bibliography and send it to the receiver; or create a joint Refworks account.

Exporting records from Endnote to RefWorks 
Export the records from Endnote as a text file.
Go to import (under references) in RefWorks.  From import filter data source, pick Desktop biblio. Mgt. Software.
From Database, choose Endnote for windows.
Choose a folder, if desired.
Press browse, select the Endnote textfile you created and then press import.

Sorting citations
You can sort folders or references in many ways:  sorting by ref I. D. will arrange them numerically in descending order; created will sort them in the opposite order.
